Responsibilities
- Office Operations: Manage incoming and outgoing communications, including email and phone inquiries, with a professional and courteous demeanor.
- Scheduling & Coordination: Schedule meetings, coordinate conference rooms, and assist with travel arrangements for executive staff.
- Data Management: Maintain accurate and up-to-date records in our CRM and database systems; perform data entry and filing duties.
- Document Preparation: Create, format, and edit documents, presentations, and reports using Microsoft Office Suite.
- Inventory Control: Monitor office supply levels and place orders as needed to ensure operations continue without interruption.
- Event Support: Assist in organizing company events, team building activities, and client meetings.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
- Experience: Minimum of 2 years of experience in administrative support or office management roles.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with scheduling software (e.g., Calendly, Google Workspace) is highly preferred.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with clients, vendors, and internal staff.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively in a dynamic environment.
- Professionalism: Must demonstrate a high level of integrity, discretion, and time management.
