Responsibilities
- Calendar & Scheduling: Manage complex calendars, schedule meetings, coordinate travel arrangements, and prepare meeting agendas and materials.
- Communication: Serve as the primary point of contact for internal and external stakeholders via phone, email, and in person; screen and direct inquiries appropriately.
- Document Management: Prepare, edit, and distribute correspondence, reports, and presentations using Microsoft Office Suite; maintain accurate digital and physical filing systems.
- Office Operations: Handle incoming and outgoing mail, manage office inventory, and assist with event coordination and reception duties.
- Project Support: Assist various departments with ad-hoc projects, data entry, and special projects as assigned.
- Vendor Relations: Liaise with external vendors and service providers to ensure office needs are met efficiently.
Qualifications
- Education: High School Diploma or GED required; Associate's degree in Business Administration or related field preferred.
- Experience: Minimum of 2-3 years of administrative experience in a corporate or professional setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Soft Skills: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Exceptional time management skills and the ability to prioritize tasks in a dynamic environment.
- Adaptability: Ability to work independently with minimal supervision and adapt to changing priorities.
