Responsibilities
- Manage and organize the front desk reception area to ensure a professional and welcoming environment for visitors and employees.
- Handle incoming and outgoing communications, including answering phones, routing calls, and managing email correspondence with precision.
- Prepare and distribute meeting agendas, take detailed minutes, and arrange conference rooms for internal and external stakeholders.
- Assist in data entry tasks, maintaining accurate digital and physical records of company files, invoices, and client information.
- Coordinate travel arrangements, including booking flights, hotels, and ground transportation for executives and staff.
- Process expense reports and assist with payroll preparation as directed by management.
- Support the sales and marketing team by preparing presentations and marketing materials.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
- Proven experience as an Administrative Assistant, Receptionist, or in a similar support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational skills with the ability to multitask and prioritize duties in a fast-paced setting.
