Your Role Will Include:
As an Administrative Assistant, you will be responsible for managing executive schedules, coordinating internal communications, and maintaining organized records. We are looking for someone who thrives in a fast-paced setting and takes pride in delivering exceptional support to our leadership team.
Responsibilities
- Executive Support: Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements with precision.
- Communication Hub: Serve as the primary point of contact for incoming inquiries, routing messages to the appropriate team members promptly.
- Document Management: Prepare, proofread, and distribute correspondence, reports, and presentations to ensure accuracy and professional formatting.
- Office Operations: Maintain office supplies inventory, manage filing systems (digital and physical), and oversee the coordination of office events and meetings.
- Project Coordination: Assist in the organization of cross-departmental projects, tracking deadlines and providing status updates to stakeholders.
- Vendor Relations: Liaise with external vendors and service providers to ensure office needs are met efficiently.
Qualifications
- Experience: Minimum of 2-3 years of administrative experience in a corporate or professional setting.
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software.
- Communication: Excellent verbal and written communication skills with a polished professional tone.
- Organization: Strong attention to detail with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Problem Solving: Ability to anticipate needs and resolve administrative issues with minimal supervision.
