Responsibilities
- Calendar & Scheduling Management: Manage complex calendars, schedule meetings, and coordinate travel arrangements for senior staff.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders via phone, email, and in-person interactions.
- Document Management: Prepare, proofread, and distribute reports, memos, and presentations with a high degree of accuracy.
- Data Entry & Records: Maintain accurate digital and physical records, including filing systems and database updates.
- Office Operations: Oversee office supply inventory, arrange maintenance, and ensure the reception area is welcoming and organized.
- Meeting Support: Take minutes during meetings, prepare meeting packets, and follow up on action items.
- Event Coordination: Assist in planning and executing company events and local community outreach activities.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Certificate in Business Administration preferred.
- Experience: Minimum of 2 years of professional administrative experience in a local business setting.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Exceptional verbal and written communication skills with a professional telephone manner.
- Organization: Strong ability to prioritize tasks and manage time effectively in a multi-tasking environment.
- Attention to Detail: Meticulous approach to data entry and document review.
