Responsibilities
- Manage the front desk reception area, greeting visitors and handling multi-line phone systems with a professional demeanor.
- Organize and maintain both physical and digital filing systems to ensure easy access to critical documents.
- Coordinate internal meetings, including booking conference rooms, preparing agendas, and taking minutes.
- Handle incoming and outgoing correspondence, including emails, mail, and courier services.
- Assist with travel arrangements, including flights, hotels, and itineraries for executive staff.
- Prepare, proofread, and distribute business correspondence, reports, and internal memos.
- Process invoices, manage petty cash, and assist with inventory management.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration is preferred.
- Minimum of 2-3 years of experience in an administrative or office support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional written and verbal communication skills with a polished phone manner.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to maintain strict confidentiality and exercise discretion with sensitive information.
