Responsibilities
- Manage complex executive calendars, coordinate meetings, and arrange domestic/international travel
- Prepare and edit confidential documents, reports, and presentations using Microsoft Office Suite
- Serve as primary point of contact for internal/external communications via phone, email, and video conferencing
- Oversee office supply inventory, vendor relationships, and facility maintenance coordination
- Process expense reports, purchase orders, and invoice reconciliations with financial accuracy
- Coordinate departmental events, offsites, and logistics for 50+ attendees
- Maintain digital and physical filing systems with strict confidentiality protocols
Qualifications
- Associate's degree or equivalent administrative certification (Bachelor's preferred)
- 3+ years experience supporting C-level executives in corporate environments
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Exceptional written/verbal communication and interpersonal skills
- Expertise in calendar management, travel coordination, and expense processing
- Proven ability to prioritize competing deadlines in high-pressure situations
- Discretion handling sensitive information and confidential data
- Proficiency with office management software (e.g., Asana, Salesforce)
