Responsibilities
- Front Desk Management: Greet and welcome visitors warmly, determine the nature of their business, and escort them to their destination or direct them to the appropriate personnel.
- Phone Support: Answer incoming calls professionally, screen them, and route them to the correct department or take accurate messages.
- Administrative Support: Manage incoming and outgoing mail, distribute faxes, and maintain the reception area in a tidy and organized condition.
- Scheduling: Assist in scheduling appointments and coordinating meeting rooms for weekend events as needed.
- Data Entry: Update and maintain office files, records, and databases with high accuracy.
- Client Relations: Provide exceptional customer service to all visitors and resolve any inquiries or issues promptly.
- Access Control: Monitor building security by signing in guests and visitors and issuing access badges.
Qualifications
- Experience: Previous receptionist or front desk experience preferred; however, we are open to recent graduates or motivated individuals with a strong customer service background.
- Availability: Must be available to work weekends (Saturday and/or Sunday) consistently.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Professionalism: A polished, professional appearance and demeanor.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Organization: Strong attention to detail and the ability to multitask in a busy environment.
