Responsibilities
- Front Desk Management: Greet visitors and clients warmly, answer multi-line phone systems, and direct inquiries to the appropriate department efficiently.
- Data Entry Excellence: Accurately input patient records, appointment schedules, and billing information into our electronic health records (EHR) and database systems with a focus on zero errors.
- Administrative Support: Manage incoming and outgoing mail, handle check-ins, and distribute messages promptly to ensure seamless office operations.
- Record Maintenance: Organize and maintain physical and digital filing systems, ensuring confidentiality and easy retrieval of documents.
- Office Coordination: Coordinate with on-call staff to ensure weekend operations run smoothly and any urgent issues are addressed immediately.
- Inventory Management: Monitor office supply levels and place orders as needed to keep the front desk fully stocked.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Office Administration or a related field is a plus.
- Experience: Minimum of 2 years of experience in a receptionist or administrative assistant role, with specific experience in data entry required.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with EHR software (e.g., Epic, Cerner) is highly desirable.
- Communication: Excellent verbal and written communication skills with a professional and welcoming demeanor.
- Typing Speed: Fast and accurate typing speed (minimum 45 WPM) essential for data entry tasks.
- Reliability: Ability to work weekends (Saturday and Sunday) and holidays as required, with a proven track record of punctuality.
