Responsibilities
- Visitor Management: Greet all visitors warmly, verify identities, and sign them in while directing them to the appropriate meeting rooms or personnel.
- Phone Support: Answer and screen incoming calls professionally, taking detailed messages and forwarding urgent inquiries immediately.
- Administrative Duties: Handle general office tasks including filing, data entry, scanning documents, and managing incoming and outgoing mail.
- Front Desk Operations: Maintain the cleanliness and organization of the reception area, conference rooms, and lobby to ensure a professional environment.
- Calendar Management: Assist with scheduling appointments, managing meeting room bookings, and preparing necessary meeting materials.
- Vendor Coordination: Coordinate with courier services and vendors for package deliveries and pick-ups.
Qualifications
- Experience: Previous experience as a receptionist or in a front desk administrative role is required.
- Availability: Must be available to work weekends, specifically Saturdays and Sundays.
- Communication: Exceptional verbal and written communication skills with a professional and welcoming tone.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with phone systems.
- Professionalism: Ability to maintain confidentiality and handle sensitive information with discretion.
