Responsibilities
- Office Operations: Manage daily office operations, including answering phones, sorting mail, and managing incoming inquiries during weekend hours.
- Scheduling & Coordination: Assist in scheduling meetings, managing calendars, and coordinating travel arrangements for the executive team.
- Data Management: Maintain accurate and up-to-date digital and physical records, ensuring data integrity and confidentiality.
- Document Preparation: Prepare, proofread, and distribute internal communications, reports, and presentations.
- Vendor Liaison: Handle basic administrative tasks related to vendors and inventory management as needed.
- Customer Service: Provide exceptional support to internal and external stakeholders visiting the office on weekends.
Qualifications
- Experience: Proven experience in an administrative or executive assistant role (1+ years preferred).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Reliability: Ability to work independently with minimal supervision during weekend shifts.
- Organization: Strong attention to detail and the ability to multitask effectively in a fast-paced environment.
- Education: High school diploma or GED required; Associate’s degree or relevant certifications a plus.
