Responsibilities
- Operational Management: Oversee daily office operations during weekend hours, ensuring a smooth and efficient workflow.
- Communication Hub: Manage incoming calls, emails, and inquiries, routing them to the appropriate team members promptly.
- Scheduling: Maintain and update calendars for department heads and schedule appointments, meetings, and conference room bookings.
- Data Management: Perform accurate data entry, file management, and record-keeping to ensure all documentation is up to date and organized.
- Vendor Coordination: Handle incoming deliveries and manage office supplies inventory to ensure the workspace is well-stocked.
- Visitor Relations: Greet visitors and clients warmly, providing a professional first impression of the company.
- Reporting: Prepare weekly or monthly reports as requested by management regarding office activity.
Qualifications
- Education: High school diploma or GED required; Associateās degree in Business Administration or related field preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or clerical role.
- Schedule Availability: Must be available to work every Saturday and Sunday (or selected weekend days) on a consistent basis.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively under pressure.
- Problem Solving: Ability to troubleshoot minor office issues and make independent decisions when necessary.
