Responsibilities
- Greet and Welcome Visitors: Manage the front desk operations with a warm and professional demeanor, ensuring all guests are checked in and directed appropriately.
- Phone and Email Management: Answer multi-line phone systems professionally, screen calls, and route them to the correct departments or take accurate messages.
- Schedule Management: Coordinate appointments, meetings, and conference room bookings while maintaining a digital calendar.
- Administrative Support: Handle incoming and outgoing mail, package deliveries, and distribute materials to staff members.
- Data Entry & Reporting: Maintain accurate records in our CRM system, update databases, and assist with basic accounting tasks such as processing invoices.
- Office Supplies: Monitor inventory levels and reorder office supplies to ensure the workspace is fully equipped.
Qualifications
- Education: High school diploma or equivalent required; Associate's degree in Business Administration is a plus.
- Experience: Previous experience as a Receptionist or in Office Support is preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong time-management skills and the ability to prioritize tasks in a busy environment.
- Personality: A positive attitude, high energy, and a professional appearance are essential.
