Responsibilities
- Manage Office Communications: Handle incoming emails, phone calls, and mail with professionalism, directing inquiries to the appropriate department promptly.
- Schedule & Coordinate: Manage the executive calendar, book meetings, coordinate travel arrangements, and prepare meeting agendas and minutes.
- Document Management: Prepare, proofread, and edit various business documents, reports, and presentations using Microsoft Office Suite.
- Inventory Control: Monitor office supplies, place orders, and maintain an organized filing system for both physical and digital records.
- Front Desk Support: Greet visitors, provide direction, and ensure a welcoming environment for clients and employees.
- Data Entry & Reporting: Accurately input data into databases and generate weekly/monthly reports for management review.
- Event Coordination: Assist in planning and organizing company events, team-building activities, and corporate functions.
Qualifications
- Education: High school diploma or GED required; Associate's degree or certificate in Office Administration is preferred.
- Experience: Minimum of 2-3 years of professional administrative support experience in a corporate or local business setting.
- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with CRM software or ERP systems is a plus.
- Communication: Exceptional verbal and written communication skills with the ability to interact with diverse stakeholders at all levels.
- Organization: Strong time management skills with the ability to prioritize tasks and meet strict deadlines in a fast-paced environment.
- Professionalism: Demonstrated ability to maintain confidentiality, exercise discretion, and present a professional demeanor at all times.
- Local Relocation: Must be willing and able to commute to Charlotte, NC.
