Responsibilities
- Manage multi-line phone system with 50+ extensions and screen/filter calls
- Coordinate complex executive schedules across multiple departments
- Greet and screen all visitors with exceptional professionalism
- Process incoming/outgoing mail and manage shipping logistics
- Order and maintain office supplies and inventory systems
- Support HR with new hire onboarding paperwork processing
- Oversee conference room scheduling and AV equipment management
- Assist with event coordination for 50+ attendee meetings
Qualifications
- 5+ years of corporate receptionist or administrative experience
- Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word)
- Exceptional communication skills and executive presence
- Proven experience with scheduling software (Calendly, Outlook)
- Ability to manage competing priorities with grace under pressure
- Associate degree or equivalent professional certification
- Experience handling confidential executive correspondence
- Knowledge of office equipment (multi-function printers, AV systems)
