Responsibilities
- Greet and welcome visitors with a positive, professional demeanor and direct them to the appropriate personnel.
- Manage high-volume phone systems, including screening calls, taking detailed messages, and transferring inquiries accurately.
- Perform general clerical duties such as data entry, filing, scanning, and maintaining organized records.
- Coordinate meeting schedules, book conference rooms, and prepare meeting materials as needed.
- Maintain the reception area, office supplies inventory, and kitchen facilities to ensure a welcoming environment.
- Assist with light bookkeeping tasks, such as processing invoices and expense reports.
- Handle incoming and outgoing mail, packages, and courier deliveries efficiently.
Qualifications
- High school diploma or GED required; additional administrative certification is a plus.
- Proven experience as a Receptionist, Front Desk Specialist, or in a related administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills with a polished phone manner.
- Strong organizational skills and the ability to prioritize tasks in a fast-paced environment.
- Ability to maintain confidentiality and exercise professional judgment at all times.
- Must be reliable, punctual, and possess a professional appearance.
