Responsibilities
- Front Desk Operations: Greet and welcome visitors with a professional and positive demeanor, ensuring a welcoming environment for clients and employees.
- Communication Management: Answer multi-line phone systems, screen and route calls, and take accurate messages with urgency.
- Administrative Support: Manage incoming and outgoing mail, distribute faxes, and handle email correspondence professionally.
- Scheduling: Maintain and manage the calendar for senior staff, schedule appointments, and coordinate meeting rooms.
- Inventory Control: Monitor office supply levels and place orders to ensure the reception area and break rooms are well-stocked.
- Data Entry: Update and maintain accurate records and databases using Excel and company software.
Qualifications
- Experience: Minimum of 2 years of experience in a receptionist, administrative assistant, or front desk role.
- Education: High school diploma or GED required; additional certification in office administration is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a clear and professional phone voice.
- Interpersonal: Strong customer service orientation and the ability to interact with a diverse range of people.
- Reliability: Punctual, professional, and able to handle confidential information with discretion.
