Responsibilities
- Front Desk Management: Greet and welcome all visitors, clients, and vendors with a warm and professional demeanor, directing them to the appropriate personnel.
- Phone System: Answer incoming calls promptly, screen them effectively, and take accurate messages or transfer calls to the correct department.
- Administrative Support: Manage incoming and outgoing mail, process faxes, and distribute messages to staff members in a timely manner.
- Scheduling: Schedule patient appointments and manage the digital calendar system to ensure efficient use of doctor and specialist time.
- Office Supplies: Monitor office supply levels and place orders as necessary to ensure the front desk is always fully stocked.
- Customer Service: Assist visitors with inquiries regarding our services and provide directions within the facility.
Qualifications
- Education: High School Diploma or GED required.
- Experience: Minimum of 1-2 years of experience in a receptionist, front desk, or administrative support role preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with appointment scheduling software.
- Communication: Excellent verbal and written communication skills with a focus on empathy and clarity.
- Professionalism: Ability to maintain a professional appearance and demeanor at all times, handling sensitive information with confidentiality.
