Responsibilities
- Front Desk Management: Greet and welcome visitors with a warm demeanor, answer multi-line phone systems professionally, and direct inquiries to the appropriate personnel.
- Appointment Scheduling: Manage the company calendar, schedule meetings, and coordinate conference room bookings efficiently.
- Administrative Support: Handle incoming and outgoing mail, process invoices, and assist with general data entry and filing tasks.
- Customer Relations: Serve as the primary point of contact for client inquiries, ensuring high levels of customer satisfaction.
- Office Operations: Maintain a clean and organized reception area and assist with office supply inventory management.
- Flexible Shift Support: Adapt to varying daily schedules and occasional after-hours coverage as needed to support business operations.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or administrative assistant experience.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Exceptional verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and ability to multitask in a fast-paced environment.
- Interpersonal: Ability to build rapport with visitors, employees, and clients from diverse backgrounds.
