Responsibilities
- Front Desk Management: Greet visitors warmly, answer multi-line phone systems professionally, and direct inquiries to the appropriate departments.
- Data Entry Accuracy: Input, update, and maintain accurate records in our CRM and spreadsheets with a high degree of precision.
- Appointment Scheduling: Manage the company calendar, schedule client meetings, and send confirmation reminders.
- Mail & Email Management: Sort and distribute physical mail, draft and proofread professional emails, and manage correspondence.
- Inventory & Supplies: Monitor office supply levels and place orders as needed to ensure the office runs smoothly.
- Customer Support: Assist walk-in customers with basic inquiries and provide exceptional service experiences.
Qualifications
- Experience: Previous experience as a Receptionist or in an administrative support role is preferred.
- Data Entry Skills: Proven proficiency in data entry with a focus on speed and accuracy (40+ WPM).
- Software Proficiency: Must be comfortable using Microsoft Office Suite (Excel, Word, Outlook) and basic computer operations.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Reliability: Must be punctual, organized, and able to work independently with minimal supervision.
- Education: High School Diploma or GED required.
