Responsibilities
- Front Desk Operations: Manage the front desk reception area, greet visitors warmly, answer multi-line phone systems, and direct inquiries to the appropriate personnel.
- Data Entry Management: Accurately input, update, and maintain customer and company records in databases and spreadsheets with a focus on data integrity.
- Communication Liaison: Handle incoming and outgoing mail, manage email correspondence, and draft professional responses when necessary.
- Scheduling & Coordination: Schedule appointments, manage calendars, and coordinate meeting room bookings and refreshments.
- Inventory Control: Monitor and replenish office supplies, coordinate with vendors for service needs, and maintain a tidy reception area.
- Customer Service: Resolve client inquiries efficiently and maintain a high standard of customer satisfaction.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative assistant role.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Excel, Word, Outlook) and data entry software.
- Education: High school diploma or GED required; Associate’s degree or certification in business administration is a plus.
- Attention to Detail: Demonstrated ability to perform data entry tasks with speed and high accuracy.
- Professionalism: Exceptional interpersonal and communication skills with a polished, professional demeanor.
- Reliability: Ability to work full-time hours with a strong attendance record.
