Key Responsibilities:
- Manage the front desk operations, ensuring a welcoming and professional atmosphere for all visitors and clients.
- Answer and redirect incoming phone calls with a polite and helpful demeanor; manage email correspondence efficiently.
- Schedule and coordinate appointments and meetings using calendar management software.
- Handle incoming and outgoing mail, packages, and deliveries with accuracy.
- Assist with basic administrative tasks including data entry, filing, and preparing meeting materials.
- Maintain the reception area and office common areas to ensure a tidy and organized environment.
- Act as the point of contact for internal and external stakeholders, escalating issues when necessary.
Qualifications:
- High school diploma or equivalent required; additional certification in business administration is a plus.
- Previous experience as a receptionist or in a front-office support role (1+ years preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Excellent verbal and written communication skills with a professional telephone manner.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Bilingual (Spanish) is highly preferred but not mandatory.
