Responsibilities
- Front Desk Management: Greet all visitors and clients warmly, directing them to the appropriate person or department while maintaining a professional and organized reception area.
- Communication Hub: Answer, screen, and transfer incoming phone calls with exceptional phone etiquette; take accurate messages and relay them promptly.
- Mail & Logistics: Sort and distribute incoming mail, packages, and deliveries; manage outgoing correspondence and courier services efficiently.
- Meeting Coordination: Schedule meetings and conference room bookings, arrange refreshments for internal and external events, and ensure all AV equipment is set up correctly.
- Administrative Support: Assist the executive team with data entry, filing, expense reporting, and general office errands to ensure daily operations run seamlessly.
- Vendor Relations: Act as the primary point of contact for building management and service vendors, handling maintenance requests and service contracts.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or certificate in Business Administration is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or administrative assistant experience.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Interpersonal Skills: Exceptional verbal and written communication skills with a professional and friendly demeanor.
- Organization: Strong attention to detail and the ability to prioritize tasks in a fast-paced, multi-tasking environment.
- Reliability: Proven track record of punctuality and attendance.
