Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional and friendly demeanor, ensuring a positive first impression for everyone entering our facility.
- Communication Hub: Answer, screen, and forward incoming calls professionally; manage email inquiries with accuracy and timeliness.
- Scheduling & Coordination: Manage the appointment calendar, coordinate meeting rooms, and assist with scheduling as required.
- Administrative Support: Handle incoming and outgoing mail, package deliveries, and general office errands to keep operations running efficiently.
- Vendor Relations: Maintain a professional relationship with vendors and service providers, handling deliveries and maintenance requests.
- Data Entry: Update and maintain accurate records, databases, and filing systems using standard office software.
- Office Maintenance: Monitor the reception area to ensure it remains clean, organized, and welcoming at all times.
Qualifications
- Experience: Minimum of 1-2 years of professional experience as a Receptionist or in an administrative support role.
- Education: High School Diploma or GED equivalent required; Associate’s degree preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Interpersonal: Strong customer service orientation with the ability to interact with diverse groups of people.
- Organization: Exceptional time management skills and the ability to multitask in a fast-paced environment.
