Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, manage the reception area to ensure it is tidy and organized.
- Communication: Answer and screen incoming calls, route inquiries, and take accurate messages in a timely and polite manner.
- Scheduling: Manage the calendar for executive staff, including scheduling meetings, coordinating conference rooms, and sending calendar invites.
- Administrative Support: Handle incoming and outgoing mail, prepare correspondence, and assist with data entry and filing duties.
- Vendor Relations: Order and maintain office supplies, manage package deliveries, and coordinate with building management.
- Customer Service: Assist clients and employees with inquiries, providing exceptional service to ensure satisfaction.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree preferred.
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to multi-task in a fast-paced environment.
- Availability: Reliable attendance and the ability to work flexible hours, including some weekends or evenings as needed.
