Responsibilities
- Front Desk Management: Greet visitors and clients warmly, ensuring a professional and welcoming atmosphere at all times.
- Communication: Answer incoming phone calls professionally, route them to the appropriate departments, and take accurate messages.
- Administrative Support: Manage incoming and outgoing mail, distribute correspondence, and handle general office inquiries.
- Scheduling: Assist in scheduling appointments and maintaining the office calendar to ensure smooth operations.
- Data Entry: Maintain accurate records and update databases with new client or employee information.
- Inventory: Monitor office supply levels and place orders as needed to ensure the office is well-stocked.
- Event Coordination: Assist in the preparation and setup for meetings, conferences, or company events.
Qualifications
- Experience: Previous experience as a receptionist or in a front desk role is preferred but not required for highly motivated candidates.
- Education: High school diploma or GED is required.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Availability: Must be available to work a flexible part-time schedule, including some evenings or weekends if necessary.
