Responsibilities
- Greet and Welcome: Provide a warm and professional welcome to all visitors, clients, and vendors, managing the reception area to ensure it is tidy and organized.
- Phone Management: Answer multi-line phone systems with a polite and helpful demeanor, routing calls to the appropriate departments and taking accurate messages.
- Administrative Support: Assist with general office tasks including data entry, filing, photocopying, and mail distribution.
- Scheduling: Manage calendars, schedule appointments, and coordinate meeting rooms, ensuring all logistics are handled efficiently.
- Customer Service: Address customer inquiries via email and in person, resolving issues promptly and maintaining high satisfaction levels.
- Inventory Management: Monitor office supplies and place orders as needed to ensure the office remains fully stocked.
Qualifications
- Experience: Previous experience as a receptionist or in an office support role is preferred.
- Education: High school diploma or GED required; associate degree or certification in business administration is a plus.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional tone.
- Organization: Strong time management skills with the ability to prioritize tasks in a busy environment.
