Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, answer multi-line phones, and direct inquiries to the appropriate departments promptly.
- Data Entry Excellence: Process high volumes of data entry with exceptional speed and accuracy, ensuring all records are up-to-date and error-free in our CRM systems.
- Administrative Support: Manage incoming and outgoing mail, prepare correspondence, and handle scheduling and calendar management for senior staff.
- Record Keeping: Maintain organized digital and physical filing systems, ensuring easy retrieval of documents and sensitive information.
- Client Relations: Assist in resolving customer inquiries and provide general information to maintain high levels of client satisfaction.
- Inventory & Supplies: Monitor office supply levels and place orders as needed to ensure the office operates smoothly.
Qualifications
- Education: High school diploma or equivalent required; Associate degree in Business Administration or related field preferred.
- Experience: Minimum of 1-2 years of experience in reception, front desk, or administrative support roles.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with data entry software or CRM platforms (e.g., Salesforce, QuickBooks) is a plus.
- Skills: Strong typing speed (minimum 45 WPM) and exceptional attention to detail are essential.
- Communication: Excellent verbal and written communication skills with a professional phone etiquette.
- Availability: Must be available to work part-time hours, typically 20-25 hours per week, with flexibility for occasional evening or weekend shifts.
