Responsibilities
- Front Desk Management: Greet visitors warmly, answer multi-line phone systems, and direct calls to the appropriate departments professionally.
- Data Entry: Input, update, and maintain accurate client and employee records in our CRM and database systems with a focus on speed and precision.
- Administrative Support: Sort and distribute mail, prepare meeting rooms, and handle incoming faxes and emails.
- Inventory Management: Assist in tracking office supplies and ordering new inventory as needed.
- Customer Service: Address client inquiries regarding appointments or services in a timely and courteous manner.
- Document Management: Scan, file, and organize physical and digital documents to ensure compliance with company policies.
Qualifications
- Education: High school diploma or GED required; some college or vocational training in business administration is a plus.
- Experience: Previous experience as a receptionist or in an administrative role is preferred.
- Skills: Proven data entry skills with a typing speed of 40+ WPM. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is essential.
- Attributes: Strong organizational skills, attention to detail, and the ability to multitask in a busy office environment.
- Communication: Excellent verbal and written communication skills in English.
