As an Office Assistant, you will play a crucial role in ensuring our daily operations run smoothly. You will work closely with our management team to handle day-to-day tasks, manage communications, and maintain a professional office environment.
Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phone systems, and direct incoming calls to the appropriate departments professionally.
- Scheduling & Coordination: Manage calendars, schedule meetings, book conference rooms, and coordinate travel arrangements for staff members.
- Document Management: Prepare, proofread, and distribute internal memos, reports, and presentations using Microsoft Office Suite.
- Administrative Support: Handle incoming and outgoing mail, package deliveries, and maintain the organization of common areas.
- Data Entry: Maintain accurate digital and physical records, including filing systems and client databases.
- Vendor Liaison: Order and restock office supplies, and handle invoices and petty cash management.
- Special Projects: Assist the Office Manager with ad-hoc projects and event coordination as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative or office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Strong attention to detail and the ability to prioritize tasks effectively in a busy environment.
- Availability: Ability to work a flexible part-time schedule, including some evenings or weekends if required.
- Soft Skills: Strong problem-solving abilities and a positive, team-oriented attitude.
