Responsibilities
- Calendar & Scheduling: Manage complex calendars for senior executives, scheduling meetings across both Charlotte and New York time zones.
- Communication Management: Serve as the primary point of contact via email and phone, filtering inquiries and drafting professional correspondence.
- Document Control: Prepare, proofread, and distribute internal memos, reports, and presentations with a high degree of accuracy.
- Travel Coordination: Arrange domestic and international travel itineraries, including booking flights, hotels, and ground transportation.
- Office Administration: Oversee office supply inventory, manage incoming mail, and handle basic bookkeeping tasks like expense reporting.
- Event Support: Coordinate logistics for company events, including vendor management and guest lists.
Qualifications
- Experience: Proven experience as an Administrative Assistant or Executive Assistant (1-3 years preferred).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Time Management: Excellent organizational skills with the ability to prioritize tasks and meet strict deadlines.
- Communication: Superior written and verbal communication skills; ability to interact with clients at all levels.
- Flexibility: Ability to work a flexible schedule, including occasional evenings or weekends as required.
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
