Responsibilities
- Manage executive calendars and coordinate complex scheduling across multiple time zones
- Process expense reports, invoices, and financial documentation with precision
- Compose and proofread professional communications, including emails and presentations
- Coordinate travel arrangements and logistics for domestic/international teams
- Maintain digital filing systems and ensure confidential document security
- Act as primary point of contact for internal/external stakeholders
- Support event planning and meeting coordination for 50+ attendees
Qualifications
- 3+ years of administrative experience in professional services environment
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
- Exceptional written and verbal communication skills
- Proven ability to prioritize tasks in high-pressure situations
- Experience with scheduling tools (Calendly, Doodle) and CRM systems
- Detail-oriented with strong organizational abilities
- Flexible availability (minimum 20 hours/week, including some evenings)
