Responsibilities
- Manage and coordinate complex calendars, scheduling meetings, and resolving scheduling conflicts with precision.
- Prepare and distribute internal communications, memos, and reports with high accuracy and attention to detail.
- Handle incoming inquiries via phone and email, routing them to the appropriate team members promptly and professionally.
- Assist in the organization of company events, team-building activities, and client meetings.
- Maintain digital and physical filing systems to ensure information is easily retrievable and secure.
- Process expense reports and invoices using our accounting software.
- Act as the point of contact for vendors and suppliers regarding office needs.
Qualifications
- High school diploma or equivalent; Associate’s degree in Business Administration or related field preferred.
- Minimum of 2 years of experience in an administrative or executive assistant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent written and verbal communication skills with a polished professional tone.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- Reliable transportation and the ability to commute to our Seattle office.
