Responsibilities
- Front Desk Operations: Greet and welcome visitors with a professional demeanor, manage incoming calls, and direct inquiries to the appropriate personnel.
- Administrative Coordination: Schedule meetings, manage calendars, prepare agendas, and handle travel arrangements for executives.
- Document Management: Prepare, proofread, and distribute internal and external communications, including memos, emails, and reports.
- Data Entry & Records: Maintain accurate and up-to-date digital and physical filing systems, and perform high-volume data entry with a focus on accuracy.
- Office Supplies & Inventory: Monitor office supply levels, place orders for necessary materials, and ensure the reception area and break rooms are well-stocked and organized.
- Vendor Liaison: Coordinate with external vendors and service providers to ensure office maintenance and services meet company standards.
- Event Support: Assist in organizing company events, team-building activities, and internal meetings.
Qualifications
- Experience: Minimum of 1-2 years of experience in an administrative or receptionist role.
- Education: High school diploma or GED required; additional certification in business administration is a plus.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook) and the ability to learn new software systems quickly.
- Communication Skills: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to prioritize tasks and manage time effectively in a busy environment.
