Responsibilities
- Reception and Front Desk: Manage the front desk reception area, greet visitors warmly, and answer incoming calls with a professional telephone manner.
- Correspondence: Draft, proofread, and distribute internal and external communications, including emails and memos.
- Record Management: Maintain both physical and digital filing systems to ensure documents are easily retrievable and organized.
- Scheduling and Coordination: Schedule meetings, coordinate conference rooms, and prepare agendas for executive meetings.
- Supply Management: Monitor office inventory, order supplies, and manage vendor relationships for office needs.
- Data Entry: Accurately input data into various databases and spreadsheets, ensuring data integrity and confidentiality.
- Event Support: Assist in the planning and logistics of company events, including lunch-and-learns and team building activities.
Qualifications
- Education: High school diploma or GED required; Associate degree or certificate in Office Administration preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or clerical role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software.
- Communication: Exceptional verbal and written communication skills with a strong command of the English language.
- Organization: Proven ability to prioritize tasks and manage time effectively in a busy environment.
- Interpersonal: Ability to work collaboratively in a team-oriented environment while maintaining a professional demeanor.
- Problem Solving: Strong analytical skills with the ability to troubleshoot basic office issues.
