Responsibilities
- General Administration: Manage incoming correspondence, answer phones, and route calls to the appropriate departments or individuals.
- Scheduling & Coordination: Schedule meetings, manage calendars, and coordinate travel arrangements for the executive team.
- Document Management: Handle filing, data entry, and maintain organized digital and physical records with high accuracy.
- Office Supplies: Monitor inventory levels of office supplies and place orders as needed to ensure operational continuity.
- Guest Relations: Greet visitors warmly, manage visitor badges, and provide refreshments to ensure a welcoming environment.
- Communication: Draft, proofread, and distribute internal memos and external emails on behalf of management.
- Support Projects: Assist in special projects, event planning, and ad-hoc administrative tasks as assigned.
Qualifications
- Education: High school diploma or GED required; Associate's degree or certificate in Office Administration is a plus.
- Experience: Minimum of 2 years of professional administrative experience preferred.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
- Flexibility: Willingness to adapt to changing priorities and work a flexible schedule, including occasional evenings if required.
