Responsibilities
- Manage executive calendars, scheduling appointments, and coordinating meetings across multiple time zones
- Handle incoming communications, including phone calls, emails, and correspondence with professionalism
- Maintain digital and physical filing systems with meticulous attention to detail
- Process office expenses, invoices, and purchase orders using QuickBooks and Microsoft Office Suite
- Coordinate office logistics, including supply inventory, equipment maintenance, and vendor relationships
- Support onboarding processes by preparing new hire materials and orientation schedules
- Assist with special projects and event planning for company initiatives and client meetings
Qualifications
- Associate's degree or equivalent administrative experience (3+ years preferred)
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Google Workspace
- Exceptional organizational skills with ability to prioritize competing deadlines
- Strong written and verbal communication skills with customer service mindset
- Experience with office management software (e.g., QuickBooks, Asana) a plus
- Ability to work independently with minimal supervision in flexible schedule environment
