Responsibilities
- Front Desk Operations: Manage the reception area during night hours, greeting visitors warmly and handling incoming calls with a professional phone manner.
- Communication Management: Screen and route calls, take accurate messages, and escalate urgent matters to the appropriate on-call personnel immediately.
- Administrative Tasks: Perform accurate data entry, maintain digital and physical filing systems, and organize incoming mail and packages.
- Security & Access: Monitor security systems, verify credentials for late-night arrivals, and ensure building safety protocols are followed.
- Document Preparation: Assist with basic clerical duties such as photocopying, scanning, and preparing documents for the start of the next business day.
- Vendor Coordination: Coordinate with late-night vendors and service providers as required to maintain office operations.
Qualifications
- Experience: Previous experience in a receptionist or front desk role is preferred; however, we are willing to train the right candidate.
- Schedule Availability: Must be available to work rotating night shifts (e.g., 5:00 PM - 2:00 AM or 6:00 PM - 3:00 AM).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
- Communication Skills: Excellent verbal and written communication skills with a polished, professional demeanor.
- Reliability: Strong work ethic, punctuality, and the ability to work independently with minimal supervision.
- Education: High school diploma or GED required.
