Responsibilities
- Greet and Welcome: professionally welcome all guests, visitors, and employees arriving during the night shift, ensuring a safe and organized reception area.
- Phone Management: answer and route incoming calls efficiently, taking accurate messages and handling urgent inquiries with a calm demeanor.
- Administrative Support: handle incoming and outgoing mail, process packages, and perform basic data entry and filing tasks to keep records organized.
- Security Protocols: enforce building security measures, including visitor sign-ins and badge issuance, to maintain a secure environment.
- Light Office Maintenance: perform minor cleaning duties to ensure the front desk and lobby areas are presentable and tidy throughout the shift.
- Shift Reporting: complete end-of-shift logs, verify key handovers, and communicate any issues to the oncoming supervisor or management team.
Qualifications
- Education: High school diploma or GED required; some college coursework in business administration or a related field is a plus.
- Experience: Previous experience as a receptionist or in a customer service role is preferred; night shift experience is highly valued.
- Availability: Must be available to work rotating night shifts, including weekends and holidays as needed.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a friendly and professional telephone manner.
- Professionalism: Ability to maintain confidentiality and handle sensitive information with discretion.
