Responsibilities
- Guest Management: Greet and direct visitors, clients, and vendors with a professional demeanor, ensuring a welcoming atmosphere.
- Phone Operations: Answer and screen incoming calls, taking detailed messages and routing inquiries to the appropriate departments.
- Security Oversight: Conduct regular security rounds and monitor building access points to ensure a safe environment for all staff.
- Mail & Logistics: Sort, distribute, and manage incoming and outgoing mail and packages efficiently.
- Administrative Support: Assist with data entry, filing, and maintaining accurate digital and physical records.
- Facility Maintenance: Perform nightly checks of the reception area, restocking supplies, and ensuring the workspace is tidy.
- Issue Resolution: Address visitor questions calmly and escalate any security or operational issues to the shift manager immediately.
Qualifications
- Education: High school diploma or GED required.
- Experience: Previous experience as a receptionist or in an office support role is preferred.
- Availability: Must be available to work night shifts, including weekends and holidays.
- Technical Skills: Proficient in Microsoft Office Suite and Google Workspace; ability to learn internal software quickly.
- Communication: Strong verbal and written communication skills with a focus on customer service.
- Independence: Ability to work autonomously with minimal supervision during the night shift.
