Responsibilities
- Front Desk Management: Oversee the front desk operations during the night shift, managing multi-line phone systems and routing calls to the appropriate departments with professional tone.
- Data Entry & Administration: Perform high-volume data entry tasks with 99.9% accuracy, maintaining and updating our digital databases and filing systems.
- Access Control: Monitor security access points, verifying visitor credentials and managing badge issuance to ensure the safety of the facility.
- Correspondence: Handle incoming emails, faxes, and physical mail, prioritizing urgent communications and ensuring timely distribution.
- Report Generation: Assist in generating daily operational logs, reconciling reports, and compiling data for management review.
- Vendor Liaison: Coordinate with night delivery personnel and service vendors, ensuring proper documentation and sign-offs.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or relevant certification is a plus.
- Experience: Proven experience in reception, front desk, or administrative support, specifically within a corporate environment.
- Skills: Demonstrated ability in high-speed data entry (40+ WPM) with a focus on accuracy and attention to detail.
- Availability: Must be available to work night shifts (e.g., 11:00 PM - 7:00 AM) on a consistent basis.
- Software: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and basic office equipment.
- Communication: Excellent verbal and written communication skills with the ability to de-escalate situations professionally.
