Responsibilities
- Manage multi-line phone systems and direct incoming calls to appropriate departments
- Greet and screen visitors with exceptional customer service during evening hours
- Coordinate international conference calls and manage virtual meeting logistics
- Process incoming/outgoing mail and maintain secure document handling
- Oversee office supply inventory and coordinate equipment maintenance
- Support administrative tasks including scheduling and data entry
- Act as emergency contact for after-hours facility operations
Qualifications
- Minimum 2 years receptionist or customer service experience
- Proficiency in Microsoft Office Suite and scheduling software
- Exceptional verbal and written communication skills
- Ability to work independently during night shift (11 PM - 7 AM)
- Strong organizational skills with attention to detail
- Professional demeanor under pressure
- Valid California driver's license preferred
- Bilingual in Spanish or Mandarin highly desirable
