Job Summary:
As our Night Shift Office Assistant, you will be the first point of contact for our evening operations. You will handle data entry, manage incoming communications, and ensure the office runs smoothly while our day team rests. This is a pivotal role that requires attention to detail and a proactive approach to problem-solving.
Responsibilities
- Manage Communications: Answer incoming calls and emails during evening hours, routing inquiries to the appropriate departments promptly.
- Data Entry & Administration: Process invoices, update customer records, and maintain digital filing systems with high accuracy.
- Office Operations: Perform light cleaning duties, restock office supplies, and ensure the workspace is organized and safe.
- Support Night Operations: Assist in the preparation of daily reports and prepare the office for the next morning shift.
- Equipment Maintenance: Perform basic troubleshooting on printers, scanners, and computers to minimize downtime.
- Mail & Courier: Sort and distribute incoming mail and manage outgoing packages.
Qualifications
- Experience: Minimum of 1-2 years of experience in an administrative or office support role.
- Availability: Must be willing and able to work night shifts (e.g., 10:00 PM - 6:00 AM).
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer hardware knowledge.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment.
- Education: High school diploma or GED required.
