Responsibilities
- Calendar Management: Manage complex calendars for senior executives, scheduling meetings, appointments, and travel arrangements with precision.
- Communication Hub: Serve as the primary point of contact for incoming inquiries via phone and email, ensuring timely and professional responses.
- Document Preparation: Prepare, proofread, and edit various documents, including reports, presentations, and correspondence, ensuring high-quality output.
- Data Management: Maintain and update digital filing systems and databases with accurate and confidential information.
- Event Coordination: Assist in planning and coordinating weekend office events, conferences, and team-building activities.
- Office Operations: Oversee basic office supplies, manage inventory, and ensure the weekend workspace is organized and functional.
- Special Projects: Support the management team with ad-hoc projects and research tasks as needed.
Qualifications
- Experience: Minimum of 2 years of administrative experience, preferably in a corporate or executive support role.
- Availability: Must be available to work weekends (Saturday and/or Sunday) on a recurring basis.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Exceptional attention to detail and strong organizational skills.
- Adaptability: Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Education: High school diploma or GED required; Associate’s degree preferred.
