Responsibilities
- Manage executive calendars, schedule appointments, and coordinate meetings across time zones
- Handle confidential correspondence, data entry, and document management with precision
- Process invoices, expense reports, and maintain financial records accurately
- Act as primary point of contact for overnight communications and emergency escalations
- Coordinate travel arrangements and logistics for domestic/international staff
- Prepare comprehensive reports, presentations, and executive briefings
- Oversee office inventory management and vendor relationships
Qualifications
- Minimum 2 years of administrative experience in corporate or fast-paced environment
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Exceptional organizational skills with attention to detail
- Strong written and verbal communication abilities
- Ability to work independently with minimal supervision during night hours
- Experience with calendar management and scheduling tools
- High school diploma or equivalent; Associate's degree preferred
- Flexibility to work nights (10 PM - 6 AM) and occasional weekends
