What You Will Do
As our Receptionist, you will be the face of our company, representing our values of integrity and efficiency. Your role will be pivotal in maintaining smooth operations and ensuring our clients and visitors have a positive experience.
Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, directing them appropriately and answering multi-line phone systems efficiently.
- Data Entry: Perform accurate and high-volume data entry into our CRM and internal databases, ensuring all records are up-to-date and error-free.
- Administrative Support: Handle incoming and outgoing mail, manage correspondence, and prepare reports as requested by management.
- Calendar Management: Maintain the executive calendar, schedule appointments, and coordinate meeting room logistics.
- Filing & Documentation: Organize and digitize physical and electronic filing systems to ensure easy retrieval of information.
- Inventory Control: Monitor office supply levels and place orders to ensure the reception area is always well-equipped.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 2 years of experience in a receptionist or administrative support role.
- Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with database management software.
- Typing: Must possess a typing speed of at least 45 WPM.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Attributes: Demonstrated ability to multitask, prioritize work, and handle sensitive information with confidentiality.
