Responsibilities
- Front Desk Management: Greet and welcome visitors professionally, answer multi-line telephones, and direct inquiries to the appropriate staff members.
- Administrative Support: Handle incoming and outgoing mail, sort and distribute packages, and manage office supplies inventory.
- Data Entry & Records: Accurately input and maintain digital and physical records, including filing documents and updating spreadsheets.
- Scheduling: Assist in scheduling appointments and managing the weekly calendar for the management team.
- Customer Service: Address client inquiries via email or in-person with a focus on resolving issues efficiently and maintaining a positive brand image.
- Office Maintenance: Ensure the reception area and common areas are tidy, organized, and welcoming for all guests.
- General Support: Perform various ad-hoc tasks to support the daily operations of the office.
Qualifications
- Experience: Previous experience as an Administrative Assistant, Receptionist, or Office Clerk is preferred.
- Availability: Must be available to work weekends (Saturday and Sunday) consistently.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong attention to detail and the ability to multitask in a busy environment.
- Education: High School Diploma or GED required; Associate’s degree in Business Administration is a plus.
- Transportation: Reliable personal transportation is required for commuting.
