Responsibilities
- Communication Management: Answer and direct incoming calls with professional etiquette; screen and route emails and voicemails promptly.
- Record Keeping: Maintain accurate and up-to-date digital and physical filing systems for all company documents.
- Meeting Support: Schedule, prepare, and organize meetings, including booking conference rooms and preparing agendas.
- General Administration: Assist with data entry, expense reporting, and inventory management of office supplies.
- Visitor Coordination: Greet and welcome visitors warmly, ensuring they are checked in and directed to the appropriate staff member.
- Project Assistance: Support the team with ad-hoc administrative projects and special requests as needed.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or relevant certification is a plus.
- Experience: Proven experience in an office or administrative setting (1-2 years preferred).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a polished, professional tone.
- Organization: Strong attention to detail with the ability to multitask and prioritize effectively.
- Schedule: Ability to work a flexible schedule, including occasional weekends or evenings, as required by business needs.
