Responsibilities
- Manage and direct incoming phone calls, emails, and visitors with a professional and welcoming demeanor.
- Coordinate and schedule meetings, appointments, and travel arrangements for senior staff.
- Maintain and organize both digital and physical filing systems to ensure easy access to records.
- Handle data entry tasks, including updating databases and preparing reports with high accuracy.
- Order and maintain office supplies, ensuring the workspace remains organized and fully equipped.
- Prepare internal and external correspondence, including memos, letters, and emails.
- Assist in the planning and execution of company events and team-building activities.
Qualifications
- High school diploma or GED required; Associate’s degree or administrative certification is a plus.
- Proven experience as an Office Assistant, Administrative Assistant, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively within a team.
- Reliable transportation and the ability to commute to the New York office.
