Responsibilities
- Manage and maintain executive calendars with precision, coordinating complex scheduling across multiple time zones
- Handle sensitive documentation including legal contracts and financial reports with strict confidentiality protocols
- Oversee office inventory systems, procurement processes, and vendor relationships for operational efficiency
- Coordinate cross-departmental communications and meeting logistics, including virtual/hybrid event management
- Process expense reports, invoices, and financial documentation using QuickBooks and accounting software
- Implement digital filing systems and document management protocols ensuring compliance with industry regulations
- Serve as primary point of contact for external stakeholders, demonstrating exceptional client relationship management
Qualifications
- Associate's degree in Business Administration or related field (equivalent experience accepted)
- Minimum 3 years of administrative experience in fast-paced environments, preferably NYC-based
